Exporting Contacts: A Step-by-Step

Here's a step-by-step guide to exporting contacts in HubSpot:

  1. Select the Contacts You Want to Export: First, head to your Contacts page in HubSpot and choose the contacts you want to export. You can filter your list to select only the contacts you need. For this example, we'll stick to the My contacts tab, but feel free to apply additional filters if needed.
  2. Click Export: Once you’ve selected the contacts you want, go over to the right-hand side of the screen and click Export. This will open up a set of export options for you to choose from.
  3. Choose Your Export Format: HubSpot offers a few different file type options for exporting contacts, but the most commonly recommended format is CSV (Comma-Separated Values). It’s compatible with almost every tool, making it easy to import your contacts elsewhere. Don’t forget to double-check the language settings to make sure everything matches up with your data.
  4. Customize Your Export (Optional): If you need to, HubSpot also gives you a chance to customize your export. You can choose specific properties and data fields to export, so you only get the info that’s relevant to your needs. Once everything looks good, click Export to confirm.
  5. Wait for the email: HubSpot will email you a download link once your file is ready. Click the link in the email to download and open the CSV file.

💡 Pro Tips for Exporting Contacts

  1. Apply Filters: Always use filters to ensure you’re only exporting the contacts you actually need. This will save you from sifting through unnecessary data later on.
  2. Choose the Right File Format: As mentioned earlier, CSV format is usually your best bet. It’s a universal format that works across most platforms, so you won’t have to worry about compatibility issues.
  3. Double-check the fields: If you’re customizing your export, make sure you’re exporting the right fields. It’s easy to overlook some data, but you’ll want everything organized correctly when you move it to other platforms.
  4. Patience is key: If you're exporting a large list, HubSpot will take some time to process the file. Be patient and wait for the email confirmation. It’s worth the wait!
  5. Organize Your Data: Once you’ve exported your contacts, take a moment to organize the file on your computer. You might want to create subfolders for different exports to keep everything neat and easy to access.
